Order smarter with BarTrack Order Stickers

Find out how to quickly and efficiently manage your stock and place orders by scanning QR codes.

How does it work?

Step 1: Add wholesalers

To get started with order stickers, it is important that you add your wholesalers to your account. You can do this via BarTrack for Web. Go to order.bartrack.com and go to “My wholesalers”. Click on the pink plus button, and you can now select and add a wholesaler, or you can add a new wholesaler by clicking on the “Missing a wholesaler?” button.

Have you added a new supplier and/or has the supplier not yet uploaded their product catalog?

  1. Download the import template “Template_artikel_import_groothandel” by clicking “Import” next to the supplier and then “Download sample file”.

  2. Fill in the product information in the correct columns:

    • barcode = product number according to the supplier

    • name = recognizable product name

    • information = product description (optional)

    • barcode_manufacturer = EAN code of the product

    • minimum_order_quantity = minimum order quantity set by the supplier (e.g. per 10 or per 100 units) (optional)

    • picture_url = URL of the product image from the supplier’s webshop (optional)

  3. Upload the completed product file by clicking “Import” next to the supplier. Select the supplier, upload the CSV file, and click “Import”.

Repeat these steps for each supplier. Once all your inventory items have been uploaded per supplier, you can start setting up your online stock locations.

Step 2: Print order stickers

You can print the order stickers yourself on sticker sheets. You can find out how to do this in this support article.

Step 3: Order Stickers Placement

Start by sticking an Order Sticker wherever you store an article, such as a shelve, a drawer or even in your work bus. Write on the Order Sticker the article you are going to attach to it (e.g. stainless steel bolt M8, 60mm). You can then see at a glance which article you are ordering by scanning the code. In the 'Quantity' box, you can indicate how many of those items you want to order each time.

Step 4: Linking an article to an Order Sticker

Open the BarTrack app and find the product you want to link to the order sticker.
Once you’ve found it, open the product and click the supplier’s name on the left-hand side of the screen.

A window with product details will open, showing three icons at the top:

  • a heart to add the product to a list,

  • a cabinet to add it to a stock location,

  • and a chain to link it to an order sticker.

Click the chain icon — this opens the scanner.
Now scan the QR code on the order sticker, and voilà! The product is linked to that sticker.
The chain icon will turn pink, indicating the link was successful.
From now on, scanning the QR code on that sticker will automatically add the product to your order list.

Step 5: Set a default order quantity and add it to a location

When you scan an order sticker, the default order quantity is 1.
If you’d like to set a different default order quantity, you can assign your inventory items in BarTrack to specific stock locations, for example: “Rack 5, Shelf 3, Bin 6.”

  1. Go to ‘My stock’ in the BarTrack app and click the ‘+’ button to add a new stock location.

  2. Enter the name of the location.

  3. Open the location and click ‘Add’, then tap the scan icon in the top-right corner.

  4. Scan the order sticker to add it to that location.

  5. The product is now linked — click on it in the list to enter a preferred order quantity and click ‘Update’.

You’ve now set a standard order quantity.
You can also add further details such as position on location, label name, minimum stock, and maximum stock.

Inventory stickers contain more detailed product information than Order Stickers, such as:

  • Supplier (the supplier you selected)

  • Product number (from the supplier)

  • Minimum and maximum stock (as defined by you)

  • Order quantity (as defined by you)

  • Image (if available from your supplier)

This makes it even easier to manage your stock and reorder efficiently.
