Module and user group

Module: Projects

For whom: Orderers with a (Professional) BarTrack account

At BarTrack, we aim to make ordering and managing project materials as simple as possible. When you need materials for a project, you can order them directly via BarTrack from your preferred suppliers. If you work with stock items, you can also link these to a project. In that case, BarTrack automatically creates a pick list, enabling you to pick materials in an organized manner while keeping your inventory accurate at all times.

Creating a new project via bartrack.com

You can easily create a new project using the BarTrack web environment.

Step 1: Go to your projects

  1. Log in to bartrack.com

  2. Click My Projects in the menu

  3. You will now see an overview of all existing projects

Step 2: Create a new project

  1. Click the + button in the bottom-right corner

  2. Click Create

  3. A new screen opens where you can enter the project details

Step 3: Enter project information

Fill in the following fields as completely as possible:

  • Project name – give the project a clear and recognizable name

  • Project number – optionally your internal project or reference number

  • Status – for example: new, in progress, or completed

  • Category – to group projects

  • Delivery date – the desired date when materials are needed

  • Comment – additional information about the project

The Source field is only automatically filled when a project is imported from an ERP system. This requires an active ERP integration.

Step 4: Set the delivery address

The delivery address is the location where the project is carried out and where materials should be delivered.

  1. Start by entering the postal code

  2. Then enter the house number

  3. Street and city are filled automatically

This postcode validation ensures that BarTrack verifies the address exists, preventing incorrect deliveries and unnecessary movements by the wholesaler.

Step 5: Add materials to the project

After saving the project and the delivery address, you can:

  • add materials to order directly from suppliers

  • add stock items that you use from your own inventory

For stock items, a pick list is automatically created. This helps you pick materials in a structured way and ensures your inventory is updated immediately.
