Stocking Inventory in BarTrack

What is Stocking?

With the Stocking function, you can process delivered orders directly in BarTrack. You can clearly see which items have been delivered and easily add them to the correct stock location.

This ensures that:

  • Inventory levels are automatically updated

  • Items are stored in the correct location

  • Your warehouse remains organized and up to date

  • Colleagues have real-time insight into available quantities

Stocking is especially useful when orders are placed through BarTrack. Once the order has been delivered, it will automatically be ready to process in the Stocking overview.


When do you use Stocking?

You use the Stocking function when:

  • An order has been delivered by your wholesaler

  • You want to replenish stock after materials arrive

  • You want to make sure the correct quantities are stored in the correct location


How Stocking works (step-by-step)

Step 1: Go to Stocking

  1. Log in to order.bartrack.com

  2. Go to Inventory in the menu

  3. Click on Stocking

You will now see an overview of orders that are ready to be processed.


Step 2: Open the correct order

  1. Click on the order you want to process

  2. You will see an overview of all delivered items

Check whether the delivered quantities match the packing slip.


Step 3: Check and confirm quantities

For each item, you can:

  • Verify the received quantity

  • Adjust quantities if needed (for example in case of partial delivery)

Click Confirm to add the item to your inventory.


Step 4: Select the correct stock location

If the item is not yet linked to a stock location:

  • Select the correct location

  • Add a position description if needed

After confirmation, the item is added to the inventory and quantities are immediately visible to all users.


What happens after stocking?

After processing the order:

  • Inventory levels are automatically increased

  • The order disappears from the Stocking overview

  • The item becomes immediately available for issue or project allocation

  • You can print inventory labels if needed


Using the BarTrack app

Do you work in the warehouse with the BarTrack app?

During stocking, you can:

  • Scan items using the QR code

  • Immediately confirm the correct location

  • Work faster and reduce errors

This speeds up the process and minimizes the risk of manual input mistakes.


Practical example of the workflow

In practice, the workflow looks like this:

  1. The delivery arrives at the warehouse

  2. You open BarTrack and go to Stocking

  3. You check the packing slip

  4. You process the items per stock location

  5. The inventory is automatically updated

This keeps your digital warehouse aligned with the physical situation.


Avoid common mistakes

  • Always check quantities in case of partial deliveries

  • Make sure every item is linked to a fixed stock location

  • Process orders immediately after delivery to prevent stock discrepancies


With the Stocking function, you maintain full control over your inventory and ensure a structured and error-free processing of incoming deliveries.
