Project Detail Information – Overview of Items to Be Picked from Inventory

In BarTrack, you can see exactly which materials still need to be taken from inventory per project. Stock items that are added to a project are automatically collected in a pick list. From the project detail page, you can easily process the withdrawal, ensuring that both your inventory and project administration are always up to date.

How does the overview of stock items per project work?

When you add materials to a project, these can be:

  • items that you order from one or multiple suppliers

  • items that are already available in your inventory

Stock items do not need to be ordered again. Instead, they must be physically picked from the warehouse and administratively assigned to the project. BarTrack supports this process using a pick list.


Automatic creation of a pick list

As soon as you add a stock item to a project:

  • the item is automatically added to a pick list

  • the pick list automatically receives the project name

  • the Pick list button appears on the project detail page

💡 Tip: You do not need to manually create a separate pick list for stock items within a project.


Viewing the overview of stock items to be picked

  1. Go to My Projects

  2. Open the desired project

  3. Click the Pick list button on the project detail page

You will now see an overview of all items:

  • that are available in inventory

  • that need to be picked in order to execute the project

You can use this overview to, for example:

  • print a pick list

  • collect materials in the warehouse


Confirming the withdrawal of materials

After you have physically collected the materials:

  1. Open the pick list detail page

  2. Select one or more items that you have picked

  3. The Process selection button (top right) turns pink

  4. Click Process selection

  5. In the pop-up, enter the actual quantity picked per item

  6. Confirm the withdrawal

After confirmation:

  • inventory is automatically reduced by the picked quantity

  • the items are administratively assigned to the project


Result on the project detail page

After processing the pick list:

  • the picked materials are shown on the project detail page

  • these items receive the status From stock

  • you can immediately see that the materials are available for the project

This gives you continuous insight into:

  • what has already been ordered

  • what has already been received

  • what has been used from stock

If you work with multiple warehouse locations or use inventory stickers, this process seamlessly supports fast and error-free picking of materials.
