Adding Stock Items to a Project
With BarTrack, you can easily assign stock items to a project. These items are not ordered from a supplier but taken from your existing inventory. BarTrack automatically creates a pick list, so you know exactly which materials need to be collected to execute the project.

What happens when you add a stock item to a project?
When you link a stock item to a project:

the item is added to a pick list;
-
the pick list shows which materials need to be taken from inventory;

inventory is only adjusted after you confirm the withdrawal.
This ensures you always have insight into what is needed and what has actually been picked.
Ways to add stock items to a project
1. Via the search bar on bartrack.com

Use the search bar to find an item.

If the item is in stock, you will see a stock location icon instead of the standard eye icon.

The red circle with a number indicates how many units are available in inventory.

Add the item by clicking the order icon.

BarTrack will ask which project you want to use the item for.

Select the project and specify how many units you want to take from stock.

Click Process.
Result:

A pick list is automatically created with the project name. The item is added to this pick list.

The item does not appear in the shopping cart, as it is not ordered but taken from inventory.

On the project detail page, the Pick list button appears.

Open it to see which materials need to be picked.

You can also confirm the withdrawal here at a later stage.
2. Via the Inventory Manager and pick lists

Go to the Inventory Manager.

Click Pick Lists.
-
Click the + button in the bottom-right corner to create a new pick list.

Give the pick list a name (preferably the project name).

Under Move to, select Project.

Select the correct project.

Open the new pick list and click the + button again.

Select one or more items from your inventory.

Click Add to project and enter the quantity per item.
3. Directly from a stock location

Go to the Inventory Manager.

Open the stock location where the item is stored.

Open the item’s detail card.
-
Click Move in the top-right corner.

In the pop-up, choose Project.

Select the project you want to assign the item to.
The item is now added to the pick list of the selected project.
Picking materials
-
Take the pick list to the warehouse.

Collect the materials from inventory.
Confirming the withdrawal

Open the pick list again.

Select the items you have picked.
-
Confirm the withdrawal.
Result:

Inventory levels are updated.

On the project detail page, you can see that the materials are available for the project.
Tip
Always use the pick list as your guide in the warehouse. This ensures you have collected all required materials from inventory before starting the project.
